ETS Transition Update - Thanksgiving Special

For this Thanksgiving edition, I wanted to highlight some incredible outcomes from Elanco IT and what I give thanks for.  Elanco IT is a great place to work.  The people are awesome.  We’ve delivered Workday, 2 Colo Datacentres, Site cutovers, ServiceNow (IT, HR, Quality), MDM redesign, Full identity design and implementation – the list of very difficult, very complex implementations goes on and on – oh and we have Bison planning.  How many IT teams go through that in one go?  At a time where surviving feels like an achievement, we should all be very proud of ourselves.

However, it is more important than ever to get your work / life balance right and look after yourselves.  Work with your supervisors to ensure we have the resource to get the critical work done, you can get rid of non-value adding work and that you have the opportunity to rest and recuperate from time to time.  I can’t stress enough how important your health is.  Call out when people are sending emails late at night or over the weekend and encourage them to rest and take a break (and not fill up your inbox!).
Healthy body, healthy mind = productivity 😁.  Enjoy the short holiday – a longer one is coming!

Cloud – Lu Halstead.
We are working with InfoSec to apply cloud security controls to Azure, these will be embedded into existing templates as code to ensure we are secure by design. As we approach production readiness there will be a security baseline as part of Sprint 1, with subsequent Sprints building on this to incorporate continuous security compliance.

Identity – Calum Bell
This week we validated the batch load process of over 8000 accounts into our development environments and we are now rounding off our first wave of testing before migration to our test environment!
Additionally, we’ve been working very closely with GSIT, Lilly and the Tenant Migration team to help them map out the end-to-end process of how accounts will be managed during this transitional phase.
We’re now looking to bring HCL onboard to the IAM workstream and begin the knowledge transfer so they are ready to begin helping us out in the new year!

Workplace -  Jo Joss
We’ve been getting a better understanding of the end user experience for laptop users when they receive their new kit, by playing with some sample devices (not the ones we will be providing) and enrolling them into inTune. We made a video to share the experience.

SharePoint Positioning and Migration Update – Ellie Burn
As we come closer to the end of year, we are beginning to finalise some of the migration strategies ready for 2020.
All SharePoint, along with other shared resources, will be migrated in March 2020. There will be more information to come regarding how this will work for access etc, so please bear with us.

Below are the main concepts of how SharePoint will be positioned in Elanco:

  • SharePoint Sites will be available for 2 use cases; Red Data Libraries and Application data sources (lists for PowerApps etc) These will be templates and there will be no sites outside out these template types.
  • Other tools must be used to replace traditional use cases for SP. The new workplace and hosting patterns should be used to help determine which tool is best for the type of collaboration you are wishing to achieve.
  • SharePoint will not be supported by IT. HCL will manage any access/ requests (through SNOW) but will not technically support sites.
  • Any new SP sites in the future will need to be requested and approved through SNOW.

The main concepts of our migration of SharePoint data are as below:

  • Data from all SharePoint sites needed will be migrated automatically
  • Data only will be migrated (document libraries)
  • Any information on SP pages themselves, or lists, will need to be exported and saved by the user.
  • IT will migrate all SP data needed to document libraries and the new SPO templates depending on current site type
  • For sites which are business critical work flows/ process or applications, they will now be managed as applications by the app stream. INFOSYS will migrate all data/ recreate the SP sites listed as the above, in other tools.
  • We can only migrate Elanco owned sites. Therefore, any Lilly owned sites/ co-owned sites which Elanco users may use today will not have their data migrated. Elanco users of these sites must start to download the documents they need and will need to recreate these sites in the Elanco tenant after migration.

We are currently working with a SPOC per function group to:

  • Identify which sites need their data migrated (so we have a finalised list for the migration team)
  • Identify sites which are complex and need to be in the scope of INFOSYS
  • Identify sites which are used in their function, and are currently not in scope for migration (need to be added to our list)

The SPOCS have been provided with an excel of sites assigned to them to do this from and have been communicating directly to site admins and owners. Therefore you might have had questions from your business partners, as our communications have been going out over the last few months.

Meanwhile as ETS, we are:
 

  • Working with Lilly to ensure we have information about all Elanco sites to work through and analyse
  • Working with WWT engineers to create our new O365 environment, including SP templates and policies
  • Trying to understand migration plans and timelines, as well as ensuring this matches up with the access people need to certain data

Due to Elanco’s large estate of SharePoint, we are constantly discovering new sites which are missing from our data sets. This has meant that this discovery activity is taking a much longer time than expected.
We will keep you posted with the progress of this change and aim to ensure the messages are communicated out to the business soon.

Our vendor partners are now heavily engaged in their onboarding and service transition work, with multiple workshops completed and more scheduled to ensure they’re ready to take on running the services that we’ve spent the last year building.

Site Cutovers and Migrations – Brad Smith
I am happy to report that our IAC in Bangalore has been brought online to our Elanco network.  They have successfully transition from temporary network gear, to our full SD-WAN environment including a Century Link supported circuit.

This is our second site where we have leverage WWT’s global partner Black Box to assist with the network configuration.  The entire team put in an extraordinary effort and some long hours  to make this cutover successful.  Many thanks to Mike Garver from ETS who worked through the design, planning and execution of our environment there.  Special thanks to Lalit Verma (R&D IT) who hosted Black Box.   Finally thanks to Mukta Arora, Litty Chacko, Vikas Singh Elanco leadership and core team at the IAC who have been excellent partners and supported IT through the entire process.  Great example of One Elanco and our partners embracing this as well (WWT, Black Box, Cannon, and Indiquobe)
