ETS Transition Update

It was Henry Kissinger that said, “a Diamond is a chunk of coal that did well under pressure”.  With the Bayer news breaking yesterday and the task for Elanco IT increasing exponentially, this is worth bearing in mind.  I have seen our whole organisation under pressure over the last 9 months and we have produced some pretty amazing outcomes.  I am personally excited and energised by the latest news, and although there will be more pressure and tough times, I know Elanco IT and the great people that work here will emerge as Diamonds.

New ETS Communication channel opening for Site Cutover

  • Bradley D Smith has initiated a weekly meeting by region for the IT Functions to get more detailed information on site cutovers happening within 90 days.  This additional channel intends to close the gap on site level detail and increase our transparency even more on what is being planned and executed for our new Elanco.

Network - Paul Graham

  • Continuing our series of site cutover preparation visits, we have spent the week working with our colleagues in Cuxhaven, Germany.  The site is a multi-building campus with higher levels of complexity than the sites we have visited so far and we are very grateful for the excellent collaboration from Cristobal, Andreas and Christoph on-site and for giving us their time and hospitality; this has been invaluable in creating the detailed transition plans.
  • The on-boarding process with CenturyLink is making good progress as we work on the technical discovery process in parallel with the legal and contractual efforts.  We have mapped out the necessary workshops to ensure with share all the necessary knowledge and enable a smooth transition of service into their environment, which we expect to happen by the end of September.

Workplace, Collab and Productivity - Ellie/Mike

  • Investigation into the governance for our new Elanco O365 environment. Over the next few weeks we will be working to define the strategy going forward in this space.
  • Analysis around SharePoint -investigating other tools which could be used, such as PowerApps.
  • In the meeting room space, we discovered that the Owl cannot be procured and shipped as globally, meaning for some countries, sites will have to utilise the Logitech templates only.
  • All wave 2 sites have placed their order for Logitech equipment, and we will be working on a process for wave 3 shortly. We have also been working on guides regarding the update strategy for the new meeting room kit and these will be shared over the next month or so
  • Guidance on transferring personal files off work devices in preparation for cutover will be distributed shortly.
  • We will not have Kaltura (Invision) going forward in Elanco. Annoyingly, there is no technical solution for bulk export and migration will require some manual action from users. Guidance will be published given around this in early September.
  • We’ve just finalised our training plan for end users and will be ready to socialise this in the next couple of weeks

Service Management - Ben Nuthak:

  • This week we phased into Service Transition via a collaboration and training summit bringing together Elanco, WWT, HCL, and Alcor for the first time.  Some of the key successes of this summit include:
  • WWT delivered training to HCL (IT Helpdesk) senior management on the tooling and processes HCL will be supporting beginning January 1 across the IT Service Management portfolio (Incident, Change, Problem, Request, CMDB).  They also delivered a solid transition flow from Lilly’s IRT process to Elanco’s Major Incident Management, enabling a vastly more agile response and resolution framework.
  • HCL analysed the tooling and processes we’ve built and delivered excellent feedback for enhancements in preparation for their onboarding
  • Alcor officially onboarded and introduced their trilateral support staff as Elanco contractors to support the ServiceNow Platform, Service Management Processes, and centralized SIAM team
  • Elanco and Alcor kicked off the Supplier Integration and Management delivery with a strategic overview and outcome-based planning session.  Later on, HCL was brought in for an introduction to Alcor as the very first IT vendor that will enter the SIAM governance model.
