ETS Transition Update Bumper Edition

Only got a minute: Here’s what you need to know from ETS:

  • We’ve updated our FAQs and our updated Transition Plan is now available
  • Everyone in Elanco will get a new laptop…this won’t start until 2020 and no mobiles will be replaced unless required due to age.
  • 2019 Cloud Provisioning and End User Experience Storyboards are available
  • Meeting room templates are ready for review!
  • We have confirmed the Tenant migration plans and detailed POC timelines.
  • We have selected a Cloud Management Platform tool (Embotics) for our Infrastructure provisioning.

We’d like to thank all our colleagues for being so patient with us whilst we’ve worked out the moving parts of this project. As always, we hope you enjoy the update and please don’t be shy asking us any questions on the ETS - Ask Us Anything Teams channel.  If you aren’t getting what you need from ETS, please help us improve by giving feedback - we want to hear from you!

Network - Paul Graham

  • We are pleased to be able to share the news that we have officially selected CenturyLink as our Managed Network Service Provider.
  • CenturyLink have shown excellent engagement through the RFP process, consistently hitting our timelines and bringing added value in advising us on our approach. They have a fantastic culture that we feel will fit well with the Elanco team, as well as having a strong commitment to our automation goals
  • Although CenturyLink are a Gartner Magic Quadrant leader, they might be the largest Internet and Services Provider you haven’t heard of.  We learned through the process that they are the most highly interconnected Internet provider on the planet, and this will give us the advantage of fewer hops to reach our cloud providers than any other vendor (critical to the success of our direct Internet access site model).
  • The deal will deliver a tailored solution for our broad request to provision circuits and telephony plus management of network, security and core services.
  • Given the transformation that CenturyLink has been through with their recent integration of Level3, there is also some interesting OCM insight that they are willing to work on with us, which is an unexpected bonus.
  • We had our kick off call with the account team this week to discuss timeline expectations and get the contracting work underway.

Cloud - Calum Bell

  • We selected a CMP tool for our Infrastructure provisioning.  CMP is another exciting new capability we think will add real agility and be a catalyst for value creation - more detailed information will be provided.  At a high level, a CMP (Cloud Management Platform) allows 3 things:
    • We can automate provision of infrastructure within our Azure Cloud and within our CoLo datacenter
    • We can run our billing through the tool and enable reporting so users can see their costs as they go
    • The tool provides governance of the infrastructure; this allows for users to have control over user access and resource management without Admin access to the environment
  • We obviously won’t be able to deliver ALL this right away. If you would like to understand how cloud provisioning will work in 2019, please refer to this storyboard.
  • We are now preparing for August 5th to provide the interim dev environment for early application use cases, these environments will be served via SNOW catalog items.

Identity - Calum Bell

  • In IAM, we are now testing our RSA and AD infrastructure to ensure that we have all our Infrastructure correct and ready for August 5th.
  • We have completed a thorough impact analysis of IAM requirements and discovered that Elanco user data isn’t critical until November.
  • Risk Reduction: We have made the decision not to import user data from Lilly into the IAM solution as this data would be significantly different from our future IAM information.

Workplace, Collab and Productivity - Jo Joss

  • If you’ve been wondering what will change for sites migrating/moving in 2019, we’ve put together this short storyboard to capture what life might look like from an end user’s experience.
  • We confirmed the Tenant migration plans and detailed POC timelines.  If all goes to plan, we should be signalling whether our approach is viable or not in mid-September, with full results in by Nov 2019.  We will use BinaryTree as the tool for migration. Over 1,000 tests will be undertaken in the POC, covering both technical and non-technical (user experience) requirements. If successful, we will move into Production and tentatively looking at Jan 1st to be ready to start user migrations.
  • Everyone is getting a new laptop….but not until 2020. We’re working with finance to understand how we might lease devices rather than buy outright, allowing us to now deliver new laptops to the enterprise. (*some MQ and R&D machines may need to stay due to validation)
  • We have signed an interim SOW our Helpdesk and EUC support provider (HCL). This is for a 4-week discovery phase to build the full scope of the services they will be delivering to Elanco.  HCL continue to impress with their quick response and their attention to detail
  • Meeting Room templates are here. Please note, these do not cover large special use rooms such as boardrooms or classrooms. You can find the deck here.
  • We’re currently working through our OCM and Training strategy for Workplace services. More to come on this!

Service Management (ServiceNow: Employee Portal, IT, HR, E&C) - Ben Nuthak:
“What’s this “Soft Launch” on Aug 1!?”

  • ServiceNow is going live on Aug 1 but will not be formally announced.  The only folks who should be using the system at that time are:
    • Quality folks who are creating Configuration Items for Elanco apps
    • App owners requesting Azure or CoLo partitions
    • IT folks in sites that have cut over to the new Elanco network
  • If you’re not in this group, you’ll begin to see communications and training for IT use of ServiceNow bundled together with the rest of the portal experience.  For the most part, you’ll begin using ServiceNow on November 1 along with the rest of the employee base.
