ETS Transition Update

We are all living in a pressured environment right now, not just in IT but all over our business.  What impresses me every day is just how open to dialogue and discussion people are and the attitude of the ‘Elancans’ toward their fellow colleagues.  This type of environment can make people stressed and I have been encouraging our team to try and vent that stress through our culture of being open, transparent and not bottling up frustrations and concerns.  After all, a problem shared and all that.  I am also trying to encourage people have fun and get the right balance of work and their lives as it is easy to be all-consumed by work during these times.
 
So, onto some key program updates!  We have taken some steps forward across all the workstreams and when you read those sections, you’ll get an idea of just how much activity is occurring at once!  We continue to encourage you to ask questions and to challenge us on our thinking, our communications and our decisions - if you don’t tell us, don’t assume we know!

Network – Paul Graham
Work has continued over the last two weeks to ensure that the private cloud architecture will deliver maximum return on investment for Elanco.  Our private cloud will allow hosting of applications that cannot be deployed with our cloud partners, such as Azure.  As in all the ETS workstreams, we are very conscious of the need to build flexible architecture that enables the business for the foreseeable future whilst avoiding over-engineering.  As we continue to understand the application needs of the business, we will build the architecture with an Agile approach and commit the resources as necessary.
 
We have set out a timetable for the site visit to Speke, UK along with our implementation partners, WWT, during the week of the 18th February.  The visit will span two days and allow the team to capture the business requirements of this critical location to ensure a smooth transition to our new environment.  There will be particular focus on how we can improve the end user experience by building in our crucial security layers in a seamless way that will be more flexible and easier to operate.
Of key importance over the next two weeks will be shaping the agenda for important collaboration sessions with our counterparts at Lilly.  During these workshops we will agree the strategy and define the architecture for how our companies continue to communicate securely, without impact to operations, as the transition continues.

Identity - Calum Bell
These past two weeks have been focused on really getting into the design and evaluation of the lower levels of identity.
 
We have been working with our partners to detail key aspects of the design and roadmap for IAM, a cornerstone of which is our detailed diagrams for our Active Directory environment which stores our Elanco login credentials.
 
Recognising that IAM is a core dependency we have been developing presentations to communicate some of the high level roadmap we will be following, this includes:
 
•           Transition Plan
•           Master Identity Management Principles
•           Identity Federation Plan
 
Looking forwards, we are working closely with InfoSec and Global Services to ensure we stay in lockstep on this journey.
 
Collaboration – Jo Joss
Decision Point! ETS are pleased to announce that Microsoft Teams will be one of the collaboration tools which we introduce for the new Elanco. Teams will be the tool which you use to communicate with people you work with regularly on your core projects. This might be collaborating on shared documents in real time within a group, sending private instant messages, or having 1:1 or small team calls. Lilly have already made Teams available, so if you are using this tool, you’re ahead of the game! Teams works across devices too, with a laptop application and a mobile application to keep you connected on the move.

We know Teams doesn’t have 100% of the collaboration functionality which we will need in the future, so stay tuned to find out what the rest of the landscape will look like!
 
Workplace Services – Jo Joss
The past week or so, we’ve been working with WWT to map out what the End User Experience looks like from a workplace perspective. After multiple whiteboarding sessions, we think we have a great aspirational view of what we want to provide our end users, and now we can scale that according to time and money!
 
Meanwhile, responses to an RFI for various support services have been received back from a number of vendors, some presenting information on their Device-as-a-Service offerings. DaaS combines hardware leasing and end-to-end lifecycle services into a single contract. It can include full asset management, managed services, and a range of technology refresh options. These responses are currently being reviewed and scored.
 
Productivity – Tom Burton
Lately, we have been focussing on the topic of legal hold, eDiscovery and more. We need to make sure that our productivity tools (such as email) meet our legal requirements.

Microsoft OneDrive - you may have seen that Microsoft OneDrive is becoming available within Lilly. OneDrive is a cloud-based storage solution. Read more here (this includes guidance on OneDrive v Box?). Nothing is confirmed yet, however, it is likely that we (Elanco) will have OneDrive in our future.
 
Service Management – Ben Nuthak
Elanco has purchased the IT Service Management (ITSM) and HR Service Delivery (HRSD) functions of the ServiceNow Platform.  Global Services will own the implementation and ongoing support of the HR function and ETS will own the implementation and support of the platform and ITSM function.
 
WWT has guided us in surfacing our critical platform and ITSM capabilities and requirements to drive an RFP-build workshop next week for our ongoing Helpdesk and platform support vendor(s).  During this workshop we will analyze the key procedures, system components, and governance strategies we expect our MSP to support, which will then yield our KPIs to measure vendor performance and customer satisfaction as well as a first-draft Request for Proposal and RACI outline.
 
In parallel, we are also demonstrating other functions of the Platform to various functional teams, including ServiceNow Security Operations, IT Operations Management, and Governance, Risk, & Compliance.

Site Services & Real Estate – Mike Henry
Site Service support as we start to move some sites early and we are starting to think about site cutovers.  Please find some high-level guidance and please do ask questions if you have any:

  • As people move to new sites, there support will be covered as if they were home workers
    • DXC will continue to support them remotely
    • If they have physical device issues or need for physical support, they will need to travel to a Lilly site or ship their device to the nearest office

Win 10, GBS, Americas & Asia sites – Mike Garver
Real estate has narrowed the Warsaw Poland GBS location to a primary facility and are entering negotiations.  Since this facility will not be ready for use until Q2 2020, we will be required to be temporarily located at another building. We will be inspecting that location for any IT requirements that we will need to provide short term. The Washington D.C. facility has been chosen and plans are to move to the location late February.

Commercial sites in Europe – J�rgen Lang

  • Algeria: ongoing
  • Austria, Vienna: ongoing, on track -> Move to new “Your Office” location 25th Feb
  • Egypt, Kairo: ongoing, preparation on track, Rep office registration expected 1 May, User move is pending.
  • Base Regus contract (signed 4th Feb) with shared WAN, LAN, WLAN and print. Business IT requirements need to be more specified, Warehouse at Regus required due to Governance requirements (no IT issues).
  • Finland open: Planning Elanco move in Wave 2 (2020)
  • Germany, Bad Homburg: Request for planned phone separation received, details to be verified.
  • Jordan: Done
  • Lebanon: Done - Infrastructure, assets, workplace unchanged. Lease contract for the new dedicated Elanco floor signed.  IT Support acc. TSA
  • Morocco: Elanco -> Rep office registration pending - Contracted (by assets Lilly) - In the process of moving to a third party, waiting for service agreement to be signed.
