In the spirit of New Year’s resolutions, ETS have committed to publishing a roundup of what we’re working on, every 2 weeks in 2019. We’re hoping we will be more successful at this than our resolution to give up chocolate! We’ll begin to give updates, where relevant, across the following areas:
- Network - Paul Graham
- Identity - Calum Bell
- Collaboration, Workplace Services - Jo Joss
- Productivity - Tom Burton
- Site Services & Real Estate - Mike Henry?
- Windows 10, GBS, Americas & Asia sites - Mike Garver?
- Commercial sites in Europe - Jrgen Lang?
- MQ sites in Europe - Andy Mellors?
- PMO (ETS specific updates) - Brad Smith
This post will be a bit of a bumper edition, as we’re introducing some of our different work areas.
Network
We’ve just welcomed our new Chief Network Architect to the team, there’s a post to follow on that topic. As it’s only Paul’s first week, we thought we’d go easy on him this time around. Proper updates on the network will come in the next edition!
Identity
Who,?what,?why,?when. Identity is a broad topic which?probably unsurprisingly?is all about:
- Who are you?
- What should you be allowed access to?
- How do we?trust?users?
With the answers to these questions we can look at some exciting capabilities for Elanco. These range from allowing?passwordless?logins to machines through to being able to seamlessly integrate, protect and monitor applications.
For the past eight weeks, Calum has been working with various stakeholders across Elanco to help understand some of our?needs?today, as well as our?goals?for tomorrow. Now we are working closely with our consultancy partner Worldwide Technologies to design what that solution looks like.
On January 14th & 15th, we will be running a?workshop?in Greenfield, Indianapolis to validate the designs, finalise our roadmap and evaluate our options. This will then be shared back to our?advisor group?at 3.30pm?EST?in the?C1 Employee Services center,?please feel free to join us?if identity is something of interest to you!
Collaboration
If you missed our last update about what we are trying to achieve in the collaboration tool space, you can find out more at this ?Unite Post. We’re still experiencing some delays with running proper pilots for these tools, due to some privacy hiccups. However, as we need to have?selected a tool by the end of February, the show must go on!?
In the meantime, next week we will be running some demo sessions with interested parties, where the vendors (Slack, Microsoft, and Workplace) will showcase what their tools do and how they could bring value to Elanco! If you feel that you or your business partners would benefit from attending these sessions, please contact Jo Joss for more information. The next steps are?to work with our WWT colleagues who are consulting on the collaboration tool selection process. Together we will plan a path forward to keep us on track to meet the February deadline.
Workplace Services
ETS want to shake up?the way?workplace services are consumed. We want to make the delivery?of these services e.g. Ordering a new laptop, as straightforward as if you were using a commercial service. The vision is an?easy, out of the box, and?ready to go?device at the touch of a few buttons. ?
We are still talking to several vendors to find out more about their offerings and we’ll aim to select the one which best suits Elanco’s needs. We’re hoping to have made a firm decision in this space by end of February too, allowing us to begin building and testing for an August delivery!
Productivity
What does “Productivity” mean?
When we say Productivity, we’re talking about the tools you use to?produce information?(e.g. documents, presentations, spreadsheets, email and more). Basically, think about the Microsoft Office suite that you use today (e.g. Word, Excel, PowerPoint, Outlook).
What options do we have?
We’ve been exploring?Microsoft O365 v G Suite by Google. Whilst both options could meet the needs of Elanco, we will?likely?implement?Microsoft O365 for Elanco 😉
There are many reasons for coming to this conclusion. The big ones are because O365 will be a much?easier transition?for employees (as we use it today!), and?security. The O365 suite comes with some great security features that will help us protect the company.
O365 has some EXCITING new features coming! As a refresher, here are the latest updates for O365 in?Windows?and?Mac.
What Next?
The next few weeks/months will be mostly negotiations between Elanco and Microsoft. In parallel, we will start to?prepare?for implementing the new technologies and figuring out how we will move employees over to the new stuff. More to come soon!
Real Estate / Sites
The reason we need IT infrastructure is essentially to support our business and therefore Affiliates to enable them to be successful.? Whether it is collaboration, internet connection, printing or even more importantly the machine and applications they use to do their day to day work, our infrastructure and services underpin it all.
Therefore, our Real Estate, or Site Cutover plans are critical and crucially, visible to all our business users.? ETS has been running workshops to review requirements across Commercial, Manufacturing, Research etc.? to understand, down to the site level, what the requirements are to best support our customers and ensure we provide the best customer experience.
Key Activities in progress
- Site Survey being tested to be sent out via Regional IT teams to affiliates to understand their site services needs
- Cutover dates being considered for Commercial sites; deadlines for countries have been provided and are (roughly) split between December 2019 (mostly Europe); June 2020.? Sites will be phased, starting in August 2019.
- Current sites in progress:
- Ho Chi Minh City, Vietnam
- Kuala Lumpur, Malaysia (GBS)
- Manilla, Philippines
- Vienna, Austria
- Washington DC, USA
- Algiers, Algeria
- Cairo, Egypt
- Warsaw, Poland (GBS)
Key Information
- All sites that are moving and going live before July 2019 will require Lilly involvement and will need to be ‘Cutover’ as well
- Key contacts for ETS in this space are below, but please also involve the regional IT leads if you are looking for information or have questions:
- Brad Smith, PMO - overall program management for site cutover
- Mike Garver, Americas & Asia and?GBS sites

European Manufacturing Sites Update
ETS have engaged WWT to help with the design phase of our new Elanco IT Infrastructure, everything from Colocation Data Centres to onsite Network and Telephony.
We have already completed some workshops and are expecting to complete “Deep Dive” activities over the coming weeks. Next phases will include - planning around final designs, implementation and Site Cutovers. We anticipate we will have more details to share in the coming weeks.
European Commercial Sites Update
There’s going to be a lot of moving in the next couple of years, meaning we’ve got to be quick on business and Real Estate activities, looking for flexible and easy to implement IT solutions. We’re working to identify future local business needs and we’re increasing support activities for several sites regarding workplace transitions and IT infrastructure build. Other activities we’re working on in this space, include:
- Ongoing evaluation and provisioning of short and long-term solutions for new locations.
- Local interim support model for moving sites under investigation
- Specific local solutions for printing, network connectivity that meet Lilly as well as Elanco security and compliance requirements (Vienna).
- Identification of site-specific application, data and information.
- Clarification on ownership and future needs.
- Definition of hardware asset and ownership.
Windows 10, GBS, Americas & Asia sites
We don’t have any updates on these topics this time around. We should have some more information in the next edition.
Thanks so much for taking the time to read this update. If you feel we’ve missed anything, or you have any feedback on this post, please contact Jo Joss, ETS.
